1. About Fleet Comply

Fleet Comply is a compliance management platform designed to help external transport managers and fleet operators manage compliance records, reminders, document storage, reporting, and audit preparation. By accessing or using Fleet Comply, you agree to these Terms & Conditions. If you do not agree, you must not use the platform.

2. Early-Access Notice

Fleet Comply is currently provided in an early-access and testing phase. Features, functionality and pricing may change without notice. While we work to keep the service stable, occasional maintenance, updates or improvements may temporarily affect availability.

3. Accounts & Access

Users must register with accurate and complete information. You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account. The Account Owner is responsible for approving or declining requests for access to their organisation.

4. User Responsibilities

Users are responsible for ensuring all information entered into the platform is accurate, complete and up to date. Fleet Comply provides reminders, notifications, document storage, reporting and compliance management tools, but responsibility for meeting all legal and regulatory obligations — including those imposed by the DVSA and Traffic Commissioners — remains with the user.

5. Acceptable Use

You must not:

• Misuse the platform or use it for any unlawful purpose.
• Attempt unauthorised access to any part of the platform or its underlying systems.
• Interfere with or disrupt the integrity or performance of the service.
• Upload viruses, malware or other harmful code.
• Upload unlawful, infringing or otherwise prohibited content.
• Share your login credentials with third parties.

6. Service Availability

Fleet Comply does not guarantee uninterrupted availability of the service. We may perform maintenance, apply updates or make improvements that result in temporary unavailability. We will endeavour to give reasonable notice of planned downtime where possible.

7. Suspension & Termination

Fleet Comply reserves the right to suspend or terminate any account that breaches these terms or that is used in a way that may harm the service, other users, or third parties. Upon termination, your right to use the platform ceases immediately.

8. Intellectual Property

All intellectual property rights in the Fleet Comply platform, software, branding and content remain the property of Fleet Comply or its licensors. You are granted a limited, non-exclusive, non-transferable licence to use the platform in accordance with these terms. Compliance records and documents you upload remain owned by your organisation.

8a. Data Processing Agreement

For personal data that workspace owners upload or generate inside their workspace (drivers, vehicles, compliance records and related fleet data), Fleet Comply acts as Data Processor under Article 28 UK GDPR. The applicable Article 28 terms are set out in the Data Processing Agreement, which forms part of, and is incorporated into, these Terms. Workspace owners must accept the DPA in Settings → Data Processing Agreement before continuing to upload fleet personal data.

9. Limitation of Liability

To the maximum extent permitted by law, Fleet Comply shall not be liable for any indirect, incidental, special, consequential or punitive damages arising from your use of the platform. Nothing in these terms excludes liability that cannot be excluded under English law.

10. Changes to These Terms

We may update these Terms & Conditions from time to time. We will notify you of material changes via email or through the platform. Continued use after changes are published constitutes acceptance of the updated terms.

11. Governing Law

These terms shall be governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
